The archive inbox and item details

Saving comes first; details come when you have them. The inbox keeps track of what still needs a decision, and every item’s details can be edited at any time.

Archive → Inbox lists records and memories that need attention: a person to link, a record type to choose, draft text to check, or suggested details to review. Items keep their current audience while they wait here, so the inbox is a to-do list, not a hiding place. Home counts the same items under Archive details.

Who is this about?

  1. Step 1. Open the item. Choose Link people and pick everyone in it; the item then appears on each of their pages.

  2. Step 2. If it belongs to no one in particular, choose Keep as family-wide. That is an explicit decision; an unfiled item is never silently treated as family-wide.

  3. Step 3. The item leaves the inbox once it has people or the family-wide choice.

Who can see this?

Audience is separate from filing. Choose family members, editors and owners, or owners only. Linking sensitive material to a living person, or to someone whose life status is unknown, tightens the audience to editors and owners automatically; you can widen it deliberately. See members, roles and privacy.

Dates, places, captions and alt text

  • Title and caption: what it is and the story around it. Captions are searchable.
  • Date: a year alone, a month, an exact day, or before, after or between. Approximate stays approximate.
  • Place: where it was taken, written or recorded. It joins the family’s recorded places.
  • Alt text for photographs: a plain description read aloud to people using a screen reader, and shown in the printable chapters.
  • Contributor: who added or told it, when that is not the person saving it.
  • Transcripts and translations: corrected text for a recording, or a translation beside a document in another language.

Moving and removing

A memory filed as a record, or the reverse, can be moved between lanes from its details. Deleting an item asks for confirmation and can be undone for ten seconds; the original file is removed from storage only after that.
